Project Management Tool - Asana


When you're booked in my schedule, we'll stop using email to have our conversation and we'll start using my project management tool, Asana.

A project management tool is a secure space online where we have have conversations, share files, set reminders, and create to-do lists.

Whereas files often get lost when I'm managing projects through email, nothing gets lost or forgotten in Asana. It's the simplest way to keep your project organized and make sure it goes as smoothly as possible!

Your pre-work / homework

A checklist of a few important things I need you to complete before your project starts.


Before I start your project, I need you to complete the following tasks. Note: I have inlcuded this list on your Asana Project Checklist as well as below.
Once each task is complete please mark them as complete in Asana, attaching or providing any relevant details to the relevant task.

If you have any questions at any stage, do not hesitate to ask.

1 | Create a Pinterest Board

  1. Log in to Pinterest. Create and fill a public board with inspiration for your brand.
  2. Pin a minimum of 5 logos, 5 colour palettes, 5 patterns/wallpaper prints and 5 website designs (Note: keep this relevant to your project!)
  3. Once you have filled out the board, go through each pin and leave a comment on why you have pinned this item.  (Note: Describe what you like and/or dislike about it)

2 | Fill ouT your Design WorkBook

You will find I have attached an editable PDF document to your associated Asana task.  Please complete the questions within this document (save the PDF to your computer, open it, fill in the answers to the questions, save it and attach it to the Asana task.
This document will help me understand your requirements so please answer every question with as much detail as possible.

I need you to upload your website copy & photography to Asana at least 1 week before your project starts. 
  


The Process


Here's how your project will go...

1 | Consult call

1-2 weeks before your project beginsBefore your project begins, we will have a 30-minute consult call. If you have any last-minute ques­tions or queries, now would be the perfect time to ask them. We will discuss and refine your homework and make sure everything is in place. By the end of the call, we'll both be crystal clear on what we're trying to achieve together, and you can be rest assured that we are both on the same page.
At this point, I will share a specific Project Page on my site which will act as the "home base" for your project.
Everything from forms, drafts, revisions and final design work will be placed here for you to reference, as well as final files for you to download in the future.
Asana will be used to keep track of the project progress. 

2 | Moodboard

The design process starts by me creating a moodboard which will summarise your brand aesthetics.  The moodboard will include a colour palette and a look into the style of font you like.  It will be created using the information you provided in your homework and inspiration will be taken from your Pinterest board.  The moodboard is the first step to creating your brand, logo and website so it is important to get this right, that is why you get one revision round.

3 | Logo design

Once the moodboard is signed off, it's time to create your logo.  I will create 3 logo concepts and you will choose the one you like best.  I will then refine it and make any requested changes over two revision rounds.  Once your main logo is complete, we can move onto creating your brand board!

4 | brand board

Your brand board will include the other brand elements listed in your package.  These are logo variations, sub mark, patterns and fonts.  All these elements will be placed on one brand board for you to use and maintain brand consistency.

5 |  Collateral branding - social media and business card design

This is the time to create your collateral, so your branded graphics for Facebook and Twitter, and your business card design.  I will use the logo, fonts and colours to create a cohesive and seamless look across all pieces.

6 | Website design

I will create design mockups of the layout for your website pages based on the Squarespace template you choose.  You have two rounds of revision to request and changes.  Once the layout is approved, I will transform the designs into your working Squarespace site!  You get one round of revision to make sure it looks spot on.

7 | Final payment

Before I hand over your final files and website, you will need to complete final payment.  I will then update your Project Page to contain linkable assets you can download.  I will also send you a link to a Dropbox folder containing all your finalised brand files and I will hand your website over.  You'll also receive access to my client area where you'll find Squarespace tutorials and advice to help you maintain your website.

8 | Website walkthrough

Fear not, I won't leave you in the lurch to figure out how to use your website.  We will set up a 1 hour long consult call where I walk you through how to use and update your site.

9 | Party time

After everything is complete, and your branding and website are live, it's time to let everyone know.  I'll help promote your new brand and website by sharing it on social media and on my blog. After all, sharing is caring! 


Revision Policy


What if you are not satisfied with your design?
My process involves sets of revisions for designs.
At each revision point, you review the design and request any changes made.
If you use up all your revisions and need more, don't worry, it's not a problem,  extra revisions are billed at my hourly rate of £38.
Because I have this in place, no client has ever walked away unhappy and with a design they do not like.


Feedback Guidelines


I really appreciated well structured and thought through feedback.  It helps me understand your thoughts and make the right changes to your designs.

Here are a few helpful tips on providing me with fab feedback:

  • Use sections/headers to provide feedback
  • If possible, provide separate bullet points for each feedback point
  • Read your feedback thoroughly to make sure you haven't forgotten anything, and answered any questions I may have asked
  • If you have team members/colleagues that would also like to add their feedback, I kindly request you gather all the feedback and provide it all in one message.  This will help to keep things organised.

Payment Policy


For your convenience, I’ve added a reminder of our payment schedule below.
If you have any questions about it, don’t hesitate to let me know!

A 30% non-refundable deposit was completed to book your spot in my schedule.
50% must be paid at the start of the project, and the final 50% must be paid when the project is over. 
Once the final payment is complete, I’ll send you your final files!

Overdue Payments:
Payments have due dates based on what stage of the project we are in.   If you are late with providing payment then I reserve the right to withhold project delivery until all outstanding project fees and assessed penalties are paid in full.
Payments that are not received within 14 days of the date stated on the invoice will incur a late fee of 5%, starting on the 14th day.  A 5% late fee will apply every 7 days after the 14th day until payment has been made.


Deadlines & Timescales


To help keep your project on track to finishing on time, please provide feedback on your designs within two business days of receiving them. 

I really appreciate your effort to provide files and feedback on time! Timeliness from both of us will help us get your project done on (or even before!) the deadline so you can move on to the next exciting task on your to-do list and I can cheer you on. 

Late content

If you delay the project for any reason, I will unfortunately put it on hold and resume at the first available slot in my schedule. This isn’t to be mean, it’s to avoid a hectic schedule impacting other projects.
